Before you start
Use to coordinate required design, product, method or closeout submissions. Tailor status names, review periods and authorities to the contract before use.
- Submittal requirements and specification sections
- Procurement and construction need dates
- Review periods and approving authorities
- Transmittals, revisions and disposition records
How to use it
Build the required inventory
List each package with a specification reference and responsible submitter. Split packages when they have different reviewers, need dates or dispositions.
Work back from the need date
Allow for preparation, review, resubmission, fabrication and delivery. The register records agreed review dates; it does not automatically calculate contractual review periods.
Keep revision and disposition traceable
Link each submission and return to its transmittal. Use the reporting date to identify overdue review commitments and resolve missing dates before relying on the exception list.

A review ahead of procurement
Illustrative example: the controls panel shop drawing must be reviewed before fabrication is released. The register records the specification section, required-on-site date, reviewer and agreed review due date. An overdue flag prompts follow-up; it does not change the approval status.
Before issue
- Every required package has a specification reference.
- Review dates support the actual procurement or work need.
- Revision and disposition records remain traceable.
- The register does not imply approval from elapsed time.
